Position Description

This position is for the MOMENTUM Integrated Health Resilience Project (MIHR) in Sudan, implemented by CARE with IMA World Health and JSI Research & Training Institute, Inc.

MIHR works to strengthen the capacity and resilience of both community and health systems in focus countries to enable them plan and implement health strategies that reach target populations while addressing the underlying determinants of poor health and the impacts of fragility. In Sudan, MIHR will work in the South Kordofan State to improve the availability, quality, and utilization of an essential package of MNCH and WASH services; improve the governance and accountability of health systems; and increase the adoption of healthy behaviors and demand for health services, with the goal of a more resilient health system that supports improved health outcomes.

The Administrative Assistant for MIHR Sudan will work in close collaboration with other MIHR Sudan administrative staff to ensure smooth and efficient administrative office operations, which comply with CARE internal policies and procedures as well as USAID donor regulations. S/he will provide overall administrative and operations support including liaising with human resources, procurement, and logistics/security; will liaise and coordinate with cost-shared staff that also support these areas of operation on behalf of the project. The position will be based in Khartoum, Sudan and will report to the Chief of Party.

Duties and responsibilities:

  • Work with Care operation team to support the Financial Officer the MIHR finance manager and COP in ensuring effective and efficient project operations,
  • Support technical report writing and editing
  • Translate reports, tools, templates and other documents
  • Assist in maintaining the office’s filing and information management systems
  • Develop the notes for meetings held at the office
  • Work with Care HR manager and officer to assist in the recruitment process of local project staff and the onboarding of new staff, including: gathering and organizing documentation for new hires and processing compensation and benefits administration processing
  • Work with Care operation team to manage the stock of office supplies
  • Assist in the organization of workshops and coffee breaks, as needed
  • Make photocopies; classify, organize and send accounting documents to the Khartoum office and as needed, to the United States
  • Communicate (as needed) with service providers/vendors and maintain good relations with said providers/vendors
  • Receive and organize letters, invitations, and other documents
  • Draft administrative letters
  • Assist in overall office operations, including the maintenance of the office space and addressing staff needs for the workspace

Minimum Qualification, Skills and Experience Required:

Qualifications

Education:

  • A degree in administration or office management preferred

Experience:

  1. At least 3 years of relevant experience to the position requirements
  2. At least 1 year of experience working in an NGO setting
  3. Experience supporting administrative office operations for USAID funded programs in fragile settings, with a preference for Sudan (especially the South Kordofan or South Darfur states)
  4. Experience working with colleagues in multiple office locations

Knowledge/skills:

  • Strong knowledge of Microsoft Office
  • Possess excellent organizational and analytic skills
  • Oral and written communications skills in Arabic
  • Oral and written communication skills in English preferred
  • Ability to work well in a team, as well as independently
