Context
• Introductory briefings about the organisation and office-related context including security, emergency procedures, good cultural practice and orientation to the local environment;
• Support with arrival administration and official processes as required;
• Structured guidance, mentoring and coaching by a supervisor including a clear workplan and performance appraisal.
• Access to office space, equipment, IT support and any other systems and tools required to complete the objectives of the assignment including a host entity email address.
• Access to shared host entity corporate knowledge, training, and learning.
• Ensure that UN Volunteers are provided all necessary security measures as per the United Nations Security Management System (UNSMS).
• Leave management.
• DSA for official travel, when applicable.
• All changes in the Description of Assignment occurring between recruitment and arrival or during the assignment need to be formalized with the United Nations Volunteer Programme.
• Investigate misconduct: sharing reports with the UNV.
• Provide emergency assistance, e.g., the death of volunteer or medical evacuation, in collaboration with UNV. Accept letters of guarantees or potential liabilities for covering medical costs not claimable under medical insurance in extraordinary situations (e.g., isolation facilities` services during pandemics).
Task description
Delivers technical data with accuracy for the usage in reports, meetings, trainings, and for dissemination, achieving results such as:
• Preparation of data for various technical meetings and reports, e.g. for pipeline, PO reporting, Supply per AWARD, stock levels, and distributions
• Preparation of tables, background material and analysis for use during meeting, report and requests from senior management.
• Development of charts, tables, graphs, and maps to display data for reports and presentation.
• Assistance in the development of statistical and analytical reports based on WHO standard guidelines.
• Production of computerised outputs and reports based on analysed data as and when requested.
Ensures proper entry, verification, revision and security of data, achieving results such as:
• Maintenance of existing databases, including critical verification of received data and ensuring consistency, quality, completeness and timeliness.
• Feedback on data quality in terms of accuracy and timeliness.
• Evaluation of processes and technologies and suggesting revisions to increase productivity and efficiency.
• Recognition of unclear or ambiguous information and taking corrective actions as per established standards.
• Review of supply date, supply financial data and documents for proper format and point out discrepancies in terms of content.
• Entry, updating, cleaning and editing data, ensuring integrity and security of data.
Facilitates the collection and compilation of data, achieving results such as:
• Comparison of data received for supplies from pipeline, warehouse and distribution for both Chad and PZU • Comparison between invoices from both Dubai and GSC against supplies received in the country and services provided by GSC
• Distribution of information, data and reports to OSL teams for decision making
• Sharing of regular and periodic reports/data summary with all the required audiences
• Assistance in the collection of data from other donors, UN agencies, private sector non-governmental organizations.
Additional Finance-Related Tasks:
• Assist in the preparation and analysis of financial data for budgeting and reporting purposes.
• Support the verification and reconciliation of financial records and transactions.
• Support the collection and compilation of financial data from internal and external sources.
• Review and update on balances in each Award marked for supplies

Skills and experience
administrative/financial information management work is required, preferably in the UN system.
– Necessary skills and knowledge include knowledge on administrative guidelines, rules and procedure related to the supply chain management.
– Ability to operate PC and good knowledge of Microsoft data analysis applications
– Knowledge of administrative and systems such as word processing, managing files and records, excel and power BI and other office procedures and terminology.
– Ability to adapt deal with people of diverse educational and cultural backgrounds University degree in computer sciences, statistics, business administration, financial management, social sciences or related field is an asset.

Allowances The purpose of allowances for the National UN Volunteers Specialist is to enable the National UN Volunteers Specialist to sustain a modest and secure standard of living at the duty station. The allowances are in no way to be understood as compensation, reward, or salary in exchange for volunteer work. Volunteer Living Allowance (VLA): All National UN Volunteer Specialists are entitled to a monthly volunteer living allowance of USD 1,983.9 The purpose of this allowance is to cover the basic living costs of the National Specialists UN Volunteer. The allowance is to ensure that the volunteer can sustain a basic, adequate, and safe lifestyle. The monthly allowance rate is a fixed rate for the duty station as established by UNV headquarters.
