Medecins Sans Frontieres (MSF) Switzerland is an international non-governmental organization working in the field of medical care in Sudan. We are looking for a qualified candidate to fill in the position.
Ensuring the general functioning of the pharmacy and supervising pharmacy supply chain processes in accordance with MSF standards, protocols, and procedures, in order to ensure its efficiency and operating availability.
Duties and Responsibilities:
- Ensuring EPREP and transit stock storage, management, and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, to ensure good storage conditions (temperatures, humidity, and light exposure) and availability of drugs and medical material, according to MSF protocols, national regulations and in cooperation with the logistics department.
- Monitoring and analyzing stocks in Port Sudan depending on the needs in order to avoid ruptures of stock or having expired drugs.
- Coordinating the preparation, delivery, reception, and recording of international and local orders/donations, in close coordination with the logistics department, updating stock file,s and informing line managers on their status (shortfalls, over-stocking, expiry dates), in order to permanently ensure security stock levels and ensure efficient management of stock.
- Filling the gap for the Pharmacy Supervisor in Port Sudan (Importation) when on Holiday or out of duty as well as in the project when called upon.
- Ensuring efficient and timely supply to projects managed/supported by MSF according to requests and available stocks and using cold chain when needed.
- Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development and internal/external communication) of the pharmacy warehouse team to ensure both the sizing and the amount of knowledge required and to improve their stock management capabilities.
- Recording all items received and issued in EPREP management file or any other stock management tool and reporting accordingly as requested.
- Ensuring GDP is adhered to at all levels in the supply chain as per MSF standards.
MSF Section/Context-Specific Accountabilities:
- Responsible for storage, classification, and organization of drugs and medical material according to MSF protocols and DFCA regulations.
- Responsible for storage conditions according to national regulations (psychotropic, narcotic…).
- Responsible for implementing the MSF pharmacy standard operating procedures (SOPs) according to Pharmacy Management guidelines/MPM will advise, and support as needed.
- Support the Line Manager in the process of inventory preparation and during the inventory of medical stock in the Port Sudan warehouse.
- Prepare (fill and follow up) the lists of medical items to be destroyed, quantification, and their destruction report.
- Responsible for the management and control of medical “sensitive” items: batch numbers, expiry dates, special packaging, and storage, and inform MPM of any variation.
- Preparation and sharing of the pre-expired list of drugs to the mission pharmacist for the stock items in the Port Sudan warehouse. Participate in random check/Flash Inventory in the stocks stored in the warehouse and report any discrepancy to the Line Manager.
- Support the line Manager for implementing good storage and distribution practices of stock management in the medical stock.
- Support in the proper reception of the medical cargo (local & international cargo) according to MSF reception standards and policy, and report any deviations. Especially on the specific product, for example: cold chain, narcotic, and bio-medical equipment.
- Participate in the reception of medical donations & cargo follow-up to destination locations, keeping the MPM/Medco in the loop.
- Monitor the lists of quarantined medical items together with MPM support and follow the action points report.
- Ensure all cold chain and T° monitoring checks are done daily, and temperature-monitoring sheets filled accordingly.
- Ensure the content & the organization of Refrigerators medicine & medical material content to have visibility of the stock /Quality follow-up.
- Responsible for the inventory & reporting of Cold chain breakdown to MPM/Medco and the Logistic team.
- Responsible for the record keeping of all the controlled drugs.
- Support Data Manager during encoding of Medical product IN & OUT in UNIFIELD & link MPM if any difficulty
- Support WH Manager /Data Manager to identify Medical products
- Responsible for the Medical Mission Eprep stock follow up including expiry follow-up, swapping of pre-expiry items in EPREP kits & updating Kit Management file together with WH Manager monthly.
Filling and Archiving of Loan & Donation certificates (and if any other ) related to Medical stock.
