Triangle Generation Humanitaire (TGH) is an international, non-partisan and non-profit organization that operates according to principles of strict neutrality, political and religious impartiality, and non-discrimination. TGH launched its mission in Sudan in 2004. Since then, TGH has been implementing projects in Food Security and Livelihood, water supply, sanitation, and hygiene promotion.

Under the supervision of HR coordinator, the HR Senior Officer is responsible of Mission daily follow up of HR issues, making sure Sudanese labour laws and TGH policies and procedures and implemented correctly.

Recruitment and Hiring process

  • Responsible of TGH recruitment at Mission level, ensuring fair selection and respect of Sudanese laws and TGH procedures 
  • Tasks includes:
  • Prepare and edit all necessary letters and forms for recruitment process
  • Follow-up of each recruitment procedure making sure the selected candidates are available for (test and interviews)
  • Prepare with managers the short list (for positions of Officers and below)
  • Implement process of internal recruitments.
  • Ensure all fees paid for recruitment are according to law and supported by official receipts.
  • Prepare, edit, communicate and coordinate the welcome briefing schedule.
  • Contribute to the HR screening for CV?s.

Contracts Preparations & Renewals

  • Ensure the preparation, signature of contracts, job description & related documents.
  • Make sure receiving the signed documents for archiving.

End of contract/termination settlement

  • Make sure receiving the signed end of contracts documents for archiving.

Database, Salaries and taxes

  • Create and update with relevant information of the monthly Port Sudan data salary.
  • Ensure that all Salary sheets are signed and archived.
  • Ensure the presence sheets are shares, signed and archived with the salary sheets on monthly basis.
  • Back up the field in case of absence of the Managers.

Port Sudan HR management responsibilities 

Under the direct supervision of HR Coordinator, s/he is responsible of Port Sudan base staff HR related aspects, this include:

  • Follow TGH recruitment process at HAC.
  • Preparing SI follow up.
  • Prepare SI documents for end of contracts. 

Achieving HR/Finance Documents: 

Under the direct supervision of HR Coordinator, s/he is responsible the electronic archiving of TGH staff.

  • Ensure that all staff folder is updated and completed on the drive.
  • Help in audit scanning of Finance & HR documents

Other duties 

  • Under the direct supervision of HR Coordinator:
  • Manage social insurance registration and ensure all TGH staff has social insurance numbers. 
  • Mange medical insurance and registration, removal & reimbursement of TGH staff.
  • Maintain good relationship with all stakeholders 
  • Perform other related duties as instructed by the HR Coordinator, Head of Finance & Human Resources and Country Director.
  • Visit all TGH bases, minimum of 30% of contract period. 
  • Manage HR Coordinator responsibilities when the HR Coordinator is on leave.
  • Translate all necessary HR documents from Arabic to English and vice-versa.
  • Any other task/duty necessary to the TGH activities

Booking 

  • Responsible for the process of booking with WFP and Commercial companies, based on an updated planning of movement, provided by the authorized persons as instructed. S/he acts as focal point for go-show management.
  • Tasks includes:
  • Do the bookings efficiently and correctly, respecting the requesters planning and WFP booking procedures and deadlines.
  • Follow all sent bookings till receiving the ticket and send tickets to passenger and bases of departure and arrival.
  • Check the manifest and send information to the concerned persons
  • Request from finance to make payment to WFP when needed

Protection:

  • Support and monitor that TGH staff respect the PSEA and Child Safeguarding guidelines.
  • Ensures that TGH staff and partners respect and implement the Child Safeguarding Policy

Capacity-building

  • Participate actively in the training courses recommended by TGH, and share new skills and knowledge with his/ her team or colleagues
  • Inform his/her supervisor about identified training needs and training opportunities on his/ her job-related matters 
  • Co-operate in the supervision of partner organizations according to TGH partnership agreements

Any other task/duty that is necessary for the program

Minimum Qualification, Skills and Experience Required:

Knowledge, skills and personal features required

  • Bsc degree in Business administration, Economic, Law, or other since with a relevant number of years of experience. 
  • At least 1 year?s experience working in the same position. 
  • Working in an INGO will be an asset.
  • Spoken and written English
  • Ability for translation.
  • Computer skills (Word, Excel ,Outlook, Internet)
  • Diploma in public administration an asset
  • Problem-solving and negotiation skills
  • Respectful, against any kind of discrimination
  • Pro activity, sense of initiative
  • Personal features: diplomatic, moderate, flexible, honest, motivated.
