We are seeking motivated professionals who will ensure the smooth operation of the pharmacy and maintain effective supply chain systems in line with MSF standards to guarantee the availability of critical medical supplies in the field.
As the Project Pharmacy Supervisor, you will play a key role in ensuring the effective functioning of the pharmacy and medical supply chain. With a focus on MSF standards and protocols.
Duties and responsibilities:
- Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MSF protocols, national regulations and in cooperation with the logistics department.
- Coordinating the delivery, reception and recording of international and local orders, in close coordination with the logistics department, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry dates), to permanently ensure security stock levels and ensure efficient management.
- Supervising orders of medical and drug material to ensure an efficient and appropriate consumption pattern under budget constraints.
- Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns and keeping conditions to ensure their therapeutic progression
- Ensuring efficient supply to other pharmacies managed/supported by MSF according to orders and stocks and using cold chain when needed. Monitoring and analyzing orders of depending on pharmacies to avoid ruptures of stock or having expired drugs.
- Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development and internal/external communication) of the pharmaceutical team and the nursing staff, to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.
- Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, to rationalize the budget and to ensure availability.
- Assisting in training of nursing staff regarding dispensing of drugs and their side effects
MSF Section/Context Specific Accountabilities
- Supervise the end user units in Al Kalakla region, as well as other possible regions we will support in the near and far future, providing support and revising the needs of each unit.
- With the support of the NAM or MAM, revise the standard lists of each unit, revise the weekly/bi-weekly requests for each unit, ensure a properly and timely supply and ensure that the delivery is followed until the end, according to MSF standards.
- Identify the HR needs of each end user unit and support the team that is directly working with the medical stock, training and supervising the team, making sure that all the requests are following MSF standards, with the proper documentation and validation from each unit/department.
- Capacity building for storekeepers, pharmacy technicians and other positions directly related to the management of stock, regarding cold chain management, stock management, stock follow-up, prevention of expires, proposal of donations, follow-up of consumptions trends, prevention of shortages etc.
- Ensure that all the IN and OUT movements of the central pharmacy to the end user units are encoded in the medical stock management software (Isystock) and physical stock management tools (stock cards, excel sheets etc) at least once a week, and send the information to the Mission Pharmacist at the same intervals.
- Negotiate with the authorities regarding all the pharmacy related subjects (registration of the warehouse, destruction of expired drugs, information about the pharmacy, information about the medical stock, information regarding the movement of the medical stock).
- Ensure proper communication between the pharmacy and the medical department (as well as other departments), by participating regularly in meetings related to the pharmacy activities and pharmacy needs within the project.
- Ensure a proper communication with Mission Pharmacist, being the focal point of the communication exchange between mission pharmacy and project pharmacy.
- Work in close collaboration with the Pharmacy Manager of the project (either flying or regular), ensuring that all the needs of the project pharmacy can reach the manager in a proper, clear and timely manner.
- In close collaboration with the Project Pharmacy Manager, ensure that the pharmacy related activities are following a pre-planned chronogram, identifying the needs and anticipating them, ensuring that the activities are not compromised.
Minimum Qualification, Skills and Experience Required:

| Experience | Previous work experience as a pharmacy Supervisor or Pharmacy Storekeeper in the field of humanitarian aid with INGOs. |
