The Facility Assistant will be responsible for supporting the day-to-day operations and maintenance of the World Bank-funded Sudan Community Resilience project’s office. This includes overseeing office facility needs, coordinating repairs, and ensuring a safe, clean, and functional work environment. The Facility Assistant reports directly to the Senior Administrative Officer and works closely with service providers to maintain office infrastructure and premises.

  • Support day-to-day office operations by maintaining a safe, clean, and functional office and guesthouse environment, in line with organizational standards.
  • Oversee office and grounds cleanliness, janitorial services, and waste management; prepare and follow up on monthly and quarterly cleaning schedules.
  • Monitor and coordinate repairs and maintenance for plumbing, electrical, and structural issues; carry out minor repairs or liaise with contractors as needed.
  • Supervise cleaners and ensure the cleanliness of office spaces, common areas, and the proper functioning of security doors and shared facilities.
  • Ensure availability and servicing of basic office utilities, including drinking water, shared printers, and office supplies; maintain inventory and monitor usage.
  • Maintain the office tender box register, asset tagging and barcoding, and support monthly physical inventory and asset tracking exercises.
  • Keep accurate records of all repairs, preventive maintenance actions, and follow-ups with contractors, providing regular updates to the supervisor.
  • Support reception duties by welcoming visitors, handling incoming calls, and directing inquiries appropriately.
  • Any other duties may be assigned by the supervisor to meet the needs of the unit and operations department as and when needed.
  • Bachelor’s in administration or related field; A diploma in a related field may be accepted with a minimum of 4-5years of relevant experience in office administration or facilities support.
  • Minimum of 3 years’ experience in facilities or office administration, preferably with an NGO or development project.
  • Experience coordinating with vendors and managing maintenance contracts.
  • Basic knowledge of building systems and maintenance needs.
  • Strong interpersonal and organizational skills.

Required Languages – Fluency in Arabic, working knowledge of English.

Travel – Minimal travel within the state, as required for facility-related tasks up to 10%.
