To ensure quality pharmaceutical management and uninterrupted supply of medicines and medical supplies within all Action Against Hunger-supported health facilities in the assigned state. The Pharmacist oversees stock management, promotes rational use of drugs, ensures compliance with MOH and AAH standards at state level. The role also involves providing technical support, capacity building, and coordination with health authorities, internal departments, and external partners to strengthen pharmaceutical services and contribute to the overall improvement of health outcomes and provides regular data and technical reports to Senior Pharmacist at the national level.
Key activities in your role will include
Objective 1: Objective 1: Ensure robust pharmaceutical management and supply chain control at state level
Tasks:
- Conduct quantification and forecasting of medicines and medical supplies based on morbidity data, consumption trends, and project targets.
- Maintain and update the state-level pharmacy stock database, ensuring completeness, accuracy, and timeliness.
- Conduct monthly physical inventories and reconcile stock discrepancies with logistics and finance teams.
- Enforce strict adherence to Good Storage and Distribution Practices (GSDP), ensuring temperature control, hygiene, and security of storage areas.
- Monitor pipeline, shelf life, and expiries; provide early alerts to prevent stockouts or wastage.
- Review and verify all drug requisitions from supported health facilities before submission to the Senior Pharmacist.
- Coordinate with the Logistics team on receipt, inspection, and documentation of medical shipments.
- Develop and update bin cards, stock cards, and ledger systems at the state warehouse and health facility level.
- Support disposal of expired or damaged medicines in compliance with AAH and MOH environmental safety standards.
- Ensure real-time availability of accurate stock data for reporting and decision-making.
Objective 2: Strengthen rational drug use and pharmacovigilance across supported facilities
Tasks:
- Conduct regular supervision and technical support visits to health facilities and mobile clinics.
- Review prescriptions and dispensing patterns to promote rational drug use and prevent misuse or overprescription.
- Lead awareness sessions for prescribers on adherence to Sudan Standard Treatment Guidelines (STGs) and Essential Medicines List (EML).
- Monitor antibiotic use and promote antimicrobial stewardship practices in line with national directives.
- Establish and maintain a pharmacovigilance reporting system for adverse drug reactions (ADR) and poor-quality medicines.
- Review patient registers and prescription data to identify irrational patterns and implement corrective measures.
- Participate in outbreak response by ensuring rapid quantification and distribution of emergency medicines
Objective 3: Strengthen data management, reporting, and coordination mechanisms
Tasks:
- Compile and validate monthly and quarterly state-level stock and consumption reports.
- Analyze consumption trends, wastage rates, and stock performance indicators for submission to the Senior Pharmacist.
- Support integration of pharmacy data into health management information systems (HMIS) and AAH reporting platforms.
- Prepare and submit timely pipeline monitoring updates and risk alerts on potential stock ruptures.
- Ensure data consistency between logistics, program, and finance records.
- Participate in inter-agency coordination meetings and provide pharmacy-related technical inputs.
- Liaise with SMOH to align AAH support with state supply plans and avoid duplication.
Objective 4: Capacity building, supervision, and quality assurance
Tasks:
- Conduct training needs assessments for facility pharmacy staff and develop tailored capacity-building plans.
- Deliver structured training on stock management, pharmacovigilance, rational drug use, and inventory documentation.
- Provide mentorship and on-the-job coaching to pharmacists, nurses, and dispensers in supported facilities.
- Supervise and evaluate the performance of pharmacy assistants at facility level.
- Conduct routine internal audits and spot checks on medicine management and documentation practices.
- Share feedback and improvement plans with the Senior Pharmacist and Health Manager for follow-up.
- Support development and rollout of standard operating procedures (SOPs) and checklists for pharmacy operations.
Objective 5: Strengthen compliance, coordination, and emergency preparedness
Tasks:
- Ensure all pharmaceutical activities comply with AAH, donor, and MOH policies and audit requirements.
- Support the Senior Pharmacist in supplier verification and quality assurance processes.
- Maintain up-to-date documentation for audits, donor reviews, and compliance checks.
- Participate in contingency planning for outbreaks or emergencies by developing pre-positioning plans and emergency drug kits.
- Provide regular feedback to the Senior Pharmacist on operational challenges, risks, and mitigation actions.
- Represent AAH in state-level pharmaceutical coordination platforms and technical working groups
Do you meet the profile required criteria?
- Bachelor’s degree in pharmacy (BPharm) from a recognized institution.
- Valid and active license to practice pharmacy from the relevant national regulatory authority
- Main quality assurance procedures for essential medicines and medical supplies, including WHO norms and standards
- Familiarity with Sudan national health police and international humanitarian health standards.
- Understanding of integrated health programming including surveillance, outbreak response, and health promotion
- Capacity in needs assessment and supply of drugs/medicines to health facilities.
- Strong knowledge of medical stock management tools (e.g., SFUMed, Excel), national supply systems, and donor compliance
- Minimum of 2 years of professional experience in health program implementation, preferably in humanitarian settings.
- At least 1 year of experience working in the humanitarian sector (NGOs, UN, or similar).
- Experience in managing or supporting medical stock systems is an added advantage.
- Outstanding knowledge of MS Office and Pharmacy information systems (e.g. MediTech, Mediware, etc.) Advanced level of Excel.
