Duties and responsibilities:
- Supervise drivers and coordinate vehicle movements based on the filled-up vehicle request forms. This includes assigning daily duty drivers, directing outside drivers through radios or mobiles, and ensuring accuracy and timely completion of vehicle log sheets.
- Managing Fleet activities
- Managing Vehicle maintenance, service, repair
- Managing VMS and responsible for timely, accurate, quality VMS report.
- Conduct unannounced verification of Vehicle Log sheets data entered in VMS
- Supervise Fleet staff
Monitor and coordinate Vehicle use and schedule
- Manage Vehicle Service Contract
- Manage, monitor and assess the vehicle fuel consumption
- Manage the Generator, including regular maintenance, service, repair
- Monitor Generator Fuel consumption and provide weekly consumption report to the Admin Manager
Manage Office Fuel stock for vehicles and Generator, provide weekly/monthly Fuel stock report, Submit Fuel replenishment request to ensure adequate fuel stock available in the office
- Conduct unannounced inventory and store management control and report any discrepancies.
- Drive CRS vehicles as requested and train drivers on using Motorola radios, reporting regularly on their location.
- Ensure drivers are trained in safe and secure driving in consultation with the Security Officer.
- Assist in processing documents for the release of vehicles and parts through customs, as well as in purchasing and shipping vehicle and generator spare parts to field offices.
- Supervise vehicle maintenance in Port Sudan and follow up on maintenance at field offices.
- Follow up on accident reports and prepare necessary insurance processes in coordination with the Administration Manager.
- Assess the need for drivers and provide recommendations to the admin manager on staffing levels and hiring of additional permanent or temporary drivers.
- Assist in the recruitment and testing of drivers and provide mentoring and coaching to drivers.
Minimum Qualification, Skills and Experience Required:
Typical Background, Experience & Requirements:
Education and Experience
- Good spoken and written English.
- A valid general driving license.
- Driving experience not less than five years, preferably with NGOs.
- Experience not less than two years in managing vehicles/ drivers, preferably with NGOs.
- Good experience on vehicles maintenance and troubleshooting.
- Good reporting and problem-solving skills.
