Project Background:
DT Global is recruiting for project positions for a 38-month USAID-funded program in Sudan focused on strengthening citizen engagement around shared, democratic values. The program aims to build the capacity of civil society organizations, support social institution building, and strengthen strategic communications and public information/outreach in order to improve citizens’ access to timely and accurate information.
Position Summary:
The Finance Assistant will help the Finance team ensure that financial transaction documentation is complete and accurate and that payments are made on a timely basis. This position will report to the Finance Manager.
Principal Duties and Responsibilities:
- Ensure that approved transactions are entered into ledger/accounting software (Quickbooks) daily in accordance with coding list provided in the Chart of Accounts.
- Generate program expenditure reports on weekly basis or as required.
- Reconcile field and bank ledgers with Quicken entries and escalate any issue to supervisor.
- Maintain proper filing system for financial documents and ensure all soft copies are appropriately saved in project’s MS SharePoint folder and that all posted vouchers are scanned and uploaded.
- Monitor outstanding local advances and ensure they are cleared on a regular basis as required by DT Global policies.
- Ensure all purchases have been made following DT Global purchasing procedures and have all relevant supporting documentation attached to payment request.
- Support Finance staff to verify all supporting documents before posting all transactions in accounting system.
- Ensure payment vouchers are scanned and uploaded to storage databases on daily basis.
- Assist with reviewing and reconciling physical cash to the cash tracking sheet daily, and to the cash book weekly.
- Ensure that cash books and supporting documents at month end are submitted on a timely basis.
- Liaise with the finance team and program leadership to ensure records are properly arranged and ready for review.
- Assist in monthly review and reconciliation of check register and bank books against bank statement.
- Ensure all financial documents have been stamped appropriately when paid and all relevant receipts are collected from staff and suppliers.
- Ensure all hard copies are properly archived stored and arranged for shipping to Home Office on monthly basis.
- Ensure payroll remittances are made each month on a timely basis. Support the Finance team to follow up with the Human Resources Unit to ensure that local tax statutory deductions and social insurance contributions for employees are paid on time.
- Assist in the preparation of monthly support documentation and month-end accounts.
- Ensure that month-end file is properly organized and completed with all the required documents.
- Assist in facilitating any internal / external audits. Other tasks as assigned by supervisor.
Education & Minimum Qualifications:
- Professional post-secondary diploma in relevant field required, bachelor’s degree preferred.
- One to three years of experience working with an international partner, national NGO, or large private sector firm.
- Prior experience working on USAID-funded projects in the international development sector preferred.
- Proficiency in Microsoft Office programs, particularly Microsoft Word, Excel, and Outlook.
- Experience with accounting software systems, preferably Quickbooks.
- Experience in utilizing and developing financial management tools.
- Demonstrated financial, accounting, planning and communication skills.
- Demonstrated problem solving and analytical skills and good judgement.
- Be proactive, have strong prioritization skills, and the ability to meet deadlines under pressure.
- Ability to work with tact in a diverse, multicultural environment.
- Fluency in written and oral English and Arabic is required.
- Legal authorization to work in Sudan is required.
