Main Purpose
Perform secretarial administrative activities and give support to external administrative work and to the coordination team in obtaining working/travel permits according to the instructions of the supervisor and MSF rules and protocols to ensure efficient administrative support to MSF office staff.
Accountabilities
• Write and/or check official letters, reports and other documents related to the Mission
• Arrange and confirm appointments, keep a diary of absences, meetings and holidays up to date.
• Take and prepare minutes of meetings.
• Manage office stationary supply and place orders on time to avoid running out of stock.
• Supervise the printing of copies and binding of documents.
• Inform supervisors in the case of any incident / problem.
• Help to organize internal and external events (meetings, presentations, etc) in sending invitations, ordering the catering, arranging accommodation, etc.
MSF Section/Context Specific Accountabilities
• Support preparing all documentation and all external activities related to visas (submitt the documents with follow up ) , visas renewals and travel permits for all international staff (with HAC, Labour Office and other authorities related the travel permits, visas , work permits , stay permits and procedures of exit for
international staff ).
• Support HR related responsibilities, such as obtaining approval with Labour Office around Recruitment process, openings of postings, follow-ups with parties, etc.
• Support in follow-up with candidates during recruitments: calls, preparation of documents, printing, etc.
• Keep all documentation and files updated, properly filed and easily accessible for the internal users
• Support all other administrative required tasks
Requirements
Education | Secondary education, preferable in secretarial related studies |
Experience | Desirable working experience of two years in similar jobs. |
Languages | Essential, mission working language and local languages |
Knowledge | Essential computer literacy (word, excel and internet) |
