The Norwegian Refugee Council has an interesting and rewarding opportunity to be part of our newest country of operation – Sudan.

The NRC has recently re-registered to operate in Sudan, and is currently in country start-up phase, conducting assessments and designing the first steps of the programme. Focus will be given to people displaced by conflict, refugees, and vulnerable migrants, and potential geographical areas of work will be Khartoum state, South Kordofan, Darfur, White Nile and Gadarif area.

The purpose of the Admin Officer (Executive Assistant) position is to provide support to the Country Management Group (CMG) in driving forward the Country strategy.  The executive assistant will coordinate the country reporting process as well as providing administrative support to the Country Director.

This position will report to the HR and Administration Manager, with close collaboration with the Country Management group and the Country Director

Duties and Responsibilities

Generic responsibilities

  • Ensure adherence with NRC policies, tools, handbooks and guidelines
  • Implement delegated support function portfolio according to plan of action
  • Prepare and develop status reports as required by management
  • Ensure proper filing of documents
  • Promote and share ideas for improvement of the Admin function

Specific responsibilities

  • Responsible for setting up and coordinating Country Management Group meetings, including drafting of agenda, identification of meeting venue and/or video conference, minute taking and follow-up on actions and wider information sharing with relevant people
  •  Writing, filing, and follow-up on minutes of management team meetings, including the CMG, as well as the Support Management Group, Programme Management Group, and – in time – Operations Management Group
  • Collate inputs from Area Management Teams and other departments for periodic reporting, including the NRC triannual reports
  • Track and analyse progress against NRC Country Strategy for Sudan
  • Maintain and update the Weekly Read File and Operations Room.  If necessary, help set up and maintain the Crisis Management Team room.
  • Maintain overview of Country Director projects, agendas, correspondence, upcoming engagements and open issues
  • Support the Country Director with relevant administrative and secretarial tasks, such as preparation for donor briefings, NRC-hosted NGO meetings, travel plans, greeting guests etc.
  • Support Sudan HR and Administration unit, with administrative arrangements related to events held by the NRC Sudan country office
  • Other as hoc tasks related to HR and admin as identified by the Line Manager. 

Qualifications / Context related skills, knowledge and experience:

  • Experience from working as an Admin Officer or similar job profile (e.g. as a PA).
  • Previous experience from working in complex and volatile contexts
  • Documented results related to the position’s responsibilities
  • Excellent knowledge of English, written and spoken
  • Ability to take high-quality meeting minutes
  • Digital/computer literacy
  • Candidate must be (Current NRC Staff & Service staff).
