The Information Management Assistant (IMS) works directly with the CP case management team on daily data management for efficient and timely submission of accurate reports on Unaccompanied and Separated Children as well as all the other cases of Child Protection concerns (children at Risk) that are documented and entered into the individual children’s case files and exported into the SCI’s internal database, and later exported to the inter-agency CPIMS+. His/her main role is to enter the data collected by CP Case Management staff into the CPIMS system/forms and export into CP online-based IMS, confirming the quality and completeness of data before synchronization into the online CPIMS+ (when customized and implemented in Sudan). S/he submits reports regularly (e.g. weekly. Fortnightly, monthly, and quarterly) to the CP IM Officer in CO. 

The Information Management Assistant (IMA) is under the lead of the IMO, responsible for the establishment of an Information Management System (IMS) in their location of work, to ensure the implementation of quality tools for the Case Management program in Sudan. 

S/he promotes the use of standard forms for case management, and in coordination with the Head of CP and the IMO makes sure that standard forms are adapted as necessary for the local context.  The IMA will prepare for the implementation of adequate information management systems; and develop a paper-based and/or Excel system that will be used, until the technical and financial capacity is developed to implement the CPIMS+.

S/he plays a key role in the daily supervision and support of CM Assistants and Case Workers in the use of paper-based forms for the documentation of all steps for case management, including ensuring that all children who are registered for case management services are well-documented and have their case files.

Training and capacity building

  • Support the Preparation and delivery of technical training at the field level on Data management and provide coaching and technical support to the caseworkers on how to fill the forms and mandatory areas. 
  • Apply learning in daily work and share with field-based staff where possible to become a resource for quality monitoring and an advocate and implementer of effective and appropriate data and information management.
  • Provide training and hands-on capacity building to CM Assistants and Case Workers on relevant IMS and digital documentation tools and paper-based forms, where in use. 

Data Entry and Information Management

  • Enter accurately and promptly all case management forms into the excel based IMS and export to CPIMS+ (when customized and implemented in Sudan) request for additional information from the persons submitting the forms, when necessary, ensure efficient data capture processes and generate fortnightly reports on caseload and monitoring statistics for the IMO.
  • Review caseload and monitoring statistics with the IMO; setting targets for case follow-ups and closure and identifying gaps as appropriate with caseworkers.
  • Ensure the database is backed up regularly.
  • Maintain an appropriate filling system of received open and closed cases as received from Case Workers and CM Assistants at the field locations. 
  • Implement the Data Protection Policy and appropriate standards for the confidentiality of the information on the children and monitor staff and other partners’ adherence to it under the leadership and authority of the IMO and the CP Manager. 
  • S/he is supporting the IMO in producing and submitting internal reports regularly (e.g. weekly. Fortnightly, monthly, and quarterly), and generating and working on any reports or analyses that may be requested.
  • Under the lead of the IMO and the CM Officer, establish the standardized information management system (IMS) and establish/implement data protection protocols and procedures in their field location.
  • Support the Preparation and delivery of technical training on Case Management and data management, and provide coaching and technical support to CM caseworkers.
  • Support the Case Workers and CM Assistants to maintain an appropriate filing system of received, open, and closed cases as received from field sites.

Other Duties

  • Work with the IMO and supervisors to monitor data collection through consistency checks.
  • Participate in any other activities as may be assigned to you by your supervisor from time to time.
  • Comply with all relevant Save the Children International policies and procedures concerning child protection, code of conduct, health and safety, security, equal opportunities, and other relevant policies.

Minimum Qualification, Skills, and Experience Required:

  • Minimum university or at least diploma in information management, preferred IMS background.
  • Training and proven experience in accounting, statistics, logistics, or related field
  • Excellent proficiency in computer usage, particularly with MS Excel and MS Access. 
  • Knowledge of IMS Database and Child Protection will be an added advantage.
  • Strong English language communication and writing skills.
  • Good interpersonal and diplomacy skills and an ability to negotiate.
  • Knowledge of Child Protection and prior experience implementing a Child protection program.
  • Ability to work independently, within specific deadlines, on multiple tasks.
