Note: Members of the ERM team will be required to spend significant periods (for days, possibly weeks at one time) staying overnight in basic conditions in locations away from their assigned base (staying overnight at community leaders’ homes or other locations in the field). Team members must be willing and able to travel to, stay, and work in different states in Darfur.

 Responsibilities and related tasks

Under the supervision of Logistics Coordinator, the ERM Logistic Officer should carry out logistics activities in full respect of TGH procedures, notably in the responsibilities detailed and listed below.

Procurement:

-Assess urgent procurement needs and develop procurement plans in line with project requirements and budgetary constraints.

-Coordinate the procurement process, including sourcing suppliers, obtaining quotations, and evaluating bids.

-Ensure timely and accurate completion of procurement documentation, including purchase orders and contracts.

-Monitor supplier performance and adherence to delivery timelines.

-Implement emergency procurement procedures in compliance with organizational policies and donor requirements.

Transportation/Cargo:

-Coordinate transportation arrangements for the delivery of relief supplies, equipment, and personnel.

-Liaise with transport providers, customs authorities, and other relevant stakeholders to facilitate the smooth movement of cargo.

-Monitor and track the movement of shipments to ensure timely delivery to designated locations.

-Address any transportation-related challenges or issues that may arise during emergency response operations.

Stock management:

-Oversee the receipt, storage, and distribution of relief supplies and materials.

-Maintain accurate stock records and inventory levels to support efficient resource allocation.

-Implement inventory control measures to prevent stockouts and minimize losses.

-Conduct regular stock assessments and inventory audits to ensure accountability and compliance with organizational standards.

Fuel and Fleet management:

-In collaboration with the base Logistics Manager, oversee the management and maintenance of the organization’s vehicle fleet used by the ERM teams.

-Develop and implement vehicle maintenance schedules to ensure roadworthiness and safety.

-Coordinate the management of fuel not only for vehicles but also for generators used in emergency response activities.

-Monitor fuel consumption and manage fuel logistics to optimize fleet and generator operations.

Capacity-building:

– Participate actively in the training courses recommended by TGH, and share new skills and knowledge with his/ her team or colleagues

– Inform his/her supervisor about identified training needs and training opportunities on his/ her job related matters

– Co-operate in the supervision of partner organizations according to TGH partnership agreements.

Other Additional Tasks:

-Coordinate with other emergency response teams to ensure seamless integration of logistics support with overall emergency operations.

-Provide logistical support for emergency assessments and rapid needs assessments in affected areas.

– Assist in the establishment and management of emergency warehouses and distribution points.

-Support in the distribution of non-food items (NFIs) and emergency shelter materials as needed.

Assist in the management of skilled and basic workers of the team.

PSEA & Safeguarding:

– Contribute to ensuring that TGH staff and partners respect the PSEA and Child Safeguarding guidelines.

– Promptly and confidentially report any concerns about violations of TGH PSEA and Child Safeguarding Policies to the relevant focal points.

Any other tasks asked by the line manager necessary for the running of the projects and supporting the emergency teams.

Minimum Qualification, Skills and Experience Required:

Required knowledge, skills and personal features:

  • University degree in relevant field or equivalent in professional experience
  • At least 1 year’s experience (preferably more) in a logistics or operations-related position; INGO experience an asset
  • Arabic and English language skills (written and spoken)
  • Knowledge of logistics, procurement and the supply chain management
  • Basic knowledge of electricity and engines
  • Competent computer skills (Microsoft Word, Excel & Outlook software; hardware skills an asset)
  • Very good organizational skills with ability to prioritize
  • Honest, with impeccable integrity
  • Commitment to humanitarian principles, and a service-delivery attitude toward beneficiaries and colleagues
  • Rigorous and hard-working
  • Communication, negotiation and diplomacy skills
