The Personal Assistant (PA) provides critical senior-level, administrative, secretarial and communications support as a direct report of the Country Representative.

As the key administrative support to the Country Representative, you will be responsible for maintaining full confidentiality, upholding protocol, managing information flow and following up on deadlines and commitments.  You will also facilitate knowledge building and management; provide logistical support; support communications; and coordinate secretarial services.

You would be responsible for:

  • Arranges internal and external meetings for the Representative. Draft correspondence and documents and ensures distribution through appropriate messaging services and other channels.
  • Distribute all UNFPA publications and advocacy materials to partners and in-house.
  • Manages and maintains the Representative’s filing system and update mailing lists and office records,in close coordination with the registry clerk.
  • Translates incoming and outgoing correspondence from Government offices and other sources.
  • Prepares informal translation and act as interpreter to and from Arabic, English and draft routinecorrespondence.
  • Arranges the Representative’s schedule and program, under his/her guidance.
  • In consultation with Representative, coordinates and prepares agendas, schedules and work plans, briefing files and official receptions for high level missions.
  • Liaises and follows up on pending issues with the programme, administration and finance officers andassociates.
  • Maintains a filing system to ensure adequate and efficient updating of key records (confidential) relatedto specific issues dealt with directly by the Representative.
  • Receiving, screens, logs and routes correspondence requiring the Representative’s personal attention.
  • Drafts correspondence, checks, and screens all correspondence prepared by other organizational units for the Representative’s signature.
  • Organizes and plans the time schedule/calendar of the Representative by arranging appointments andmeetings as well as travel inside and outside the country.
  • Update lists of names, addresses and telephone numbers of high level officials, ministers, coordinates of the diplomatic corps used as reference by the country office. Compiles booklets of business cards to facilitate the Representative’s official contacts.
  • Performs any other function/s as the UNFPA Representative may request

Education:  

  • Completed Secondary Level/ High School Education is required. A first-level university degree is considered advantageous.

Knowledge and Experience: 

  • A minimum of six (6) years of relevant experience in administration with a high school diploma, or three (3) years of relevant experience with a bachelor’s degree., and in a PA-type role, assisting senior officials.
  • Experience within the UN common system, large multinationals, IFIs, NGOs, or similar would be considered advantageous.
  • Experience in research assistance.
  • Strong interpersonal and organizational skills.
  • Proficiency in current office software applications and corporate IT financial systems.
  • Good written and verbal communication skills.

Language Requirements:

Proficiency in English and Arabic is required. Proficiency in other languages is  an asset.
