Reporting to the logistics Officer, the logistic assistant will manage the projects/programs. The aims of the job are to assist in providing secretarial services/administrative support and in ensuring the smooth functioning of the project/program office.

2. Duties and area of responsibility 

  • Provide basic logistic services
  • Make administrative and logistic arrangements of project activities (meetings, workshops etc.)
  • Ensure the functioning of computer software and hardware
  • Prepare security updates and do a regular virus check-up
  • Monitor availability of supplies (spare parts, stationary etc.) and arrange for replenishment
  • Regularly update the project/programme inventory list
  • Assist in the coordination of the project/programme office’s operations


3. Specific Activities and duties of the position

  • Purchasing all needed material of WHH Office and procure goods and services for the projects. 
  • Getting quotations and prepare competitive, restricted and national tenders as per WHH policy. 
  • Making of competitive bid analysis (CBA), contracts, and translation of contract .
  • Checking of all goods and services samples based on contracts specifications. 
  • Preparing PO/contracts for all goods. 
  • Supervising of all suppliers’ activities of projects. 
  • Updating fuel consumption report on monthly based. 
  • Close coordination with site supervisors regarding projects activates. 
  • Preparing monthly reports and weekly plans for projects activities. 
  • Process of all bills for Finance Department. 
  • Having strong communication skill inside and outside the organization. 
  • To organize and maintain logistics related files and documents as per WHH established standards. 
  • To oversee the maintenance of travel logs. 
  • To provide technical and logistical support to WHH staff and consultants as requested. 
  • Performs any other job responsibilities as assigned by the Head of logistics. 
  • Full compliance with WHH rules, regulations and policies, implementation of corporate operational 
  • Responsible to follow absolutely binding the anti-corruption policy of Welthungerhilfe in all operations. 
  • Project compliance with corporate human resources policies and strategies. 
  • Compliance with corporate rules and regulations in the field, WHH procurement policy including sourcing 
  • strategy, supplier selection and evaluation, quality management, e-procurement promotion and 
  • Fulfillment of any other tasks which are assigned by the management and correspond in general with the character of this position

Minimum Qualification, Skills and Experience Required:

Qualifications & Experience:

  • Education required: Bachelor’s degree in business administration, logistics management or related field .
  • Work Experience: 2 -5 years’ experience in a logistics-related position. Preferably with NGOs, UN agencies, and private companies.       

 Knowledge, Skills & Abilities:

  • English Language skills.
  • Demonstrate good judgment and sound logistic procurement “common sense.”
  • Demonstrable problem-solving skills and a high level of attention to detail.
  • Organized and able to work in a fast paced and deadline driven environment.
  • Excellent in Microsoft Office programs, especially Excel spreadsheets. 
  • Excellent written and verbal communication skills.
  • Values collaboration and contributing to the shared goals and success of the team.
