ZOA is an international non-governmental organisation with its Head Office in the Netherlands. ZOA has been working in Sudan since 2004. Its current focus is on post-conflict recovery and rehabilitation and ZOA operates programmes in North Darfur, East Darfur, South Darfur and Gedaref State, covering the sectors of food security and livelihoods & Economic Development, Integrated Water Resources Management and Education.


ZOA Sudan is looking for :

Project Assistant (FSL) for the Integrated Food Security & livelihood Support (IFSLS) Project:


PURPOSE of the POSITION:
The Roving Project Assistant (PA) will provide day-to-day support for project and Office operations to ensure smooth running of all programmatic functions of the project in the assigned locality / state. The Project Assistant will support administrative, financial, logistics and programmatic tasks required for efficient implementation of project. This include but not limited, to implementation monitoring, budget tracking, documentation and reporting. S/he will support staff efforts at ensuring timely completion of program activities in line with budget, scope and budget requirements.

The position will be for around 12 months, including 3 months’ probation period, subject for renewal, depending on performance and continuity of funding.

MAIN RESPOSIBILITIES/ ACTIVITIES:
• The Roving Project Assistant will assist in the implementation, management, monitoring and evaluation of the IFSLS and other projects being implemented by ZOA at Wad El Hilaiw and other Kassala localities. This includes assisting with development of work plans, budgets, liaising with stakeholders of projects and implementing partners regarding implementation, monitoring and evaluation of programs.
• S/he will support the project teams to ensure that project activities are implemented according to approved implementation plan and ZOA accepted methodologies, policies and principles.
• The PA will work with finance department to arrange logistics for activities of projects and draft correspondence to partners, NGOs and other agencies as requested.
• Coordinate the planning of meetings, workshops, brown bag sessions and ensures that all logistics arrangements are in place while ensuring that meeting notes are taken and disseminated timely to all participants.
• The PA will maintain files and support the dissemination of project information among the project team, schedule and support visitors and meetings.
• S/he will work collaboratively with other project team members to ensure necessary project planning, resource availability and management activities function smoothly and efficiently.
• Support the program staff and technical teams in capacity development efforts for staff, CSOs / CBOs and local partners.
• Work with partners to regularly assess the quality of the relationship, ensuring that effective communication channels are in place, and that any shortcomings are addressed.
• Assist in the development of monthly, quarterly and annual reports as well as human-interest stories, bulletins, factsheets, technical briefs, abstracts and other relevant publication related to the project interventions.
• Perform other duties as assigned.


3. AUTHORITY:
The Roving Project Assistant-FSL is accountable to the Project Manager.


4. CONTACTS:
External
Community leaders, small farmer associations and networks, CBOs, CSOs, etc.
Local government, local partner, private sector, technical departments, etc.
Any other stakeholders in project implementation at community level.


Internal
Project manager is the supervisor and coach.
Other project officers
Local partner staff in the localities.
Other project staff in the locality & in Gedaref and Kassala (as required).

Minimum Qualification, Skills and Experience Required:

COMPETENCIES:
• Bachelor’s Degree in Business Administration, or related field, or equivalent job experience.
• 2-3 years of experience in programmatic support of Integrated FSL projects, preferably in Kassala State Localities.
• A broad variety of programmatic, administrative, financial, and computer skills, including Word Access, Excel, PowerPoint, etc.
• Experience with donor policies (EU, UNHCR, EKN, etc.) and administrative procedures is a Plus.
• Proven track record of working with a project team composed of technical experts, program, admin, logistic and finance staff.


ATTIUDE/ SKILLS:
• Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform.
• Good presentation skills and verbal and written communications skills.
• Previous experience working INGO.
• Proficiency in word processing, Microsoft Office and data software.
• Fluency in verbal, written and interpersonal communication in Arabic & English.
• Decent ability to draft and edit official letters, travel requests, etc.
• Familiarity with Wad El Hilaiw locality is a Plus.

The candidate will subject to Membercheck /COTER procedures, which is against Government Sanction lists to verify that the candidate is not on any of these lists. WE OFFER: The salary scale for this position is ranged between G 2-564 – G 3-593 USD per month based on experience and qualifications.
