WFP Sudan has the potential to reach millions of food insecure people across Sudan – with a total of 4 million people assisted in 2018. WFP Sudan, one of the largest and complex operations for WFP globally, is currently rolling out a five- year Country Strategic Plan (2019 – 2023), which aims to provide emergency assistance through a hybrid approach (Cash, food and vouchers), along with life-changing types of programmes (Nutrition, Resilience and School Feeding).

Summary of Responsibilities

Under the direct supervision of the Admin Associate or (OIC), the Customs and Protocol Assistant will be responsible for the following duties:

  1. Assist and follow up with Ministry of Foreign Affairs (MoFA), Ministry of Finance and Customs HQ authorities for the custom clearance of consignements to all destinations;
  2. Keep track of the required approvals for WFP shipments (both in Port Sudan and Khartoum) and generate a weekly report on its status.
  3. Obtain the Sea Port Corporation (SPC) for WFP shipments arriving through Port Sudan and share it with WFP – Port Sudan.
  4. Follow- up with Self Accounting units on the NTC approvals for the IT and Communication shipments. 
  5. Follow-up with the clearing agents on the status and release of the shipments to WFP.  

6. Draft relevant correspondences relating to approvals i.e. re-exports, NTCs, Ministry of Healh approvals and SPC;

7. Support in the prepartion of the MFA forms and ensure that all required documents for the consignments are correct.

8. Support in the preparation of NVs for the issuance of  entry visas, stay permits, travel notifications, NOA, exist visas…… for WFP personnel  and follow up with the concerned government offices on its approval

9. Draft and follow-up on  relevant correspondance relating for the purchase, selling, registration, licensing, and ownership transfer of private vehicles of WFP staff members and ensure that staff are informed on the progress of the process and aware on the procedures.

10. Perform other duties as directed by the Supervisor.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education.

Experience:  At least 5 years of relevant experience, preferably part of it acquired in the to work related to custom clearance and Protocol.  A first-level university degree in combination with three additional years of qualifying work experience may be accepted in lieu of the 5 years’ experience.

Language: General Service (Field): Fluency in both oral and written communication in the UN

language in use at the duty station and in the duty station’s language, if different.

Knowledge & Skills:

  • Proficient in the use of office equipment and computer software packages,

such as Microsoft Word and Excel

  • Knowledge of work routines and methods in order to complete processes

under minimal supervision.

  • Uses tact and courtesy to give and receive information to a wide range of
  • individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Valid driving license for 4×4 vehicles or above with a clean driving record
  • Familiarity with Traffic rules and required actions at checkpoints and crossings
