POSITION OVERVIEW

The Warehouse Assistant will play a vital role in supporting the efficient management of the warehouse operations for MedGlobal, the assistant will be responsible for receiving, storing, organizing, and distributing medical supplies, equipment, and educational materials. The Warehouse Assistant will contribute to ensuring the availability and timely delivery of essential resources, supporting the organization’s mission to provide quality healthcare services to vulnerable populations.

JOB RESPONSIBILITIES

  • Warehouse Operations:
    • Receive and inspect incoming shipments of medical supplies, equipment, and educational materials, verifying their accuracy and quality.
    • Properly label, organize, and store items in the warehouse, ensuring effective inventory management.
    • Prepare and pack orders for distribution to healthcare facilities, ensuring accuracy and completeness.
    • Perform regular stock checks and maintain accurate inventory records, using appropriate inventory management systems.
    • Implement proper stock rotation practices to ensure the utilization of goods before expiration dates.
    • Monitor and maintain warehouse cleanliness, organization, and safety standards.
  • Distribution and Logistics:
    • Collaborate with the procurement and logistics team to coordinate the distribution of supplies and equipment to healthcare facilities and project sites.
    • Prepare delivery schedules, ensuring timely and accurate distribution of goods.
    • Assist in loading and unloading shipments, ensuring proper handling and care of fragile items.
    • Conduct regular inventory reconciliations to identify discrepancies and take appropriate corrective actions.
    • Coordinate with drivers and transportation providers to arrange timely pick-up and delivery of goods.
    • Track and document all distribution activities, including maintaining delivery records and proof of receipt.
  • Documentation and Reporting:
    • Maintain accurate and up-to-date warehouse records, including stock levels, receipts, and distribution records.
    • Generate reports on inventory status, stock movements, and distribution activities as required.
    • Assist in preparing periodic inventory reports and participate in stock-taking activities.
    • Contribute to the identification of warehouse needs, including supplies, equipment, and infrastructure improvements.
    • Provide inputs for the development and improvement of warehouse policies, procedures, and standard operating protocols.
  • Quality Assurance and Compliance:
    • Ensure compliance with MedGlobal’s policies, procedures, and quality standards in all warehouse activities.
    • Adhere to safety guidelines and regulations in handling and storing medical supplies and equipment.
    • Monitor the condition of stored items, promptly reporting any damages or concerns to the supervisor.
    • Assist in conducting regular quality checks on medical supplies, ensuring they meet the required standards.
    • Participate in internal and external audits of warehouse operations and inventory management.

Qualifications and Experience

  • High school diploma or equivalent. Additional certification or training in warehouse management is preferred.
  • Minimum of 2 years of experience in warehouse operations, preferably in a medical or humanitarian organization.
  • Knowledge of inventory management principles and best practices.
  • Familiarity with medical supplies and equipment used in healthcare settings.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to operate warehouse equipment such as forklifts, pallet jacks, and hand trucks (if applicable and required).
  • Proficient in using inventory management software and Microsoft Office applications.
  • Excellent communication and teamwork skills.
  • Ability to work effectively in a fast-paced and time-sensitive environment.
  • Physical ability to lift and move heavy items.
  • Fluency in Arabic. Knowledge of English is desirable.
  • Commitment to humanitarian principles and MedGlobal’s mission.
  • Must be Sudanese Nationality.
