Background:
We are seeking a proactive logistics professional who will support the planning, coordination, and supervision of capital-level logistics activities, ensuring efficient fleet management, facilities maintenance, supply flow, and technical equipment oversight in line with MSF standards to sustain safe, reliable, and effective project operations.As the Logistics Coordinator Assistant, you will play a pivotal role in strengthening mission logistics systems at capital level. With a strong focus on operational planning, fleet and asset management, facilities oversight, and emergency preparedness—guided by MSF protocols and technical standards—you will ensure smooth supply chain support, functional infrastructure, and uninterrupted operational capacity across projects.
Duties and responsibilities:
- Planning and supervising the logistics within the coordination base (repairs, equipment maintenance, stock management, cleanliness…), in order to ensure the best operational working conditions in the capital.
- Supporting the Logistics Coordinator and/or the Mission Supply Chain Manager in organizing the ordering and transport of goods to the different projects, in order to comply with their needs in terms of quality and timelines
- Organizing and supervising the fleet of vehicles in the coordination base (driver’s schedules, vehicles maintenance, vehicles registration and insurance, fuel consumptions, etc.), in order to ensure coping with the transportation and movement needs.
- Assisting the Logistics Coordinator with the checkup and supervision of the proper functioning of the computers and other communication and IT equipment, in order to ensure a continuous and appropriate flow of information and communication.
- Ensuring repair and maintenance of generators and power back-up systems as well as cold chain equipment, water pumps and other technical equipment used or stocked in capital and informing the Logistic Coordinator in case of any further needs concerning technical equipment, in order to have everything running adequately
- Supporting the LogCo in the planning and ensuring an appropriate emergency preparedness and response capacity (stocks, contacts, transport means, staff training), and participating in any emergency activity or exploratory visit, in order to ensure giving appropriate assistance to the population.
- Informing the Logistics Coordinator in case of any major issue and draws-up all required reporting, in order to keep updated and reliable information that will ease decision-making.
- Assist the Logistic Coordinator in drawing up logistics contracts and ensure their follow-up.
- Through the Log base, take care of the maintenance and repairs of the houses and office.
- Monitor all current expenses and payments for electricity, water and gas.
- Take care of vehicle maintenance and repairs.
- Take care of all car paperwork, including insurance and registration books.
- Be prepared to participate in Explos and assessments in case of need.
- Visit project sites to support with specific assignments if requested.
- Practical implementation of SOP’s in collocaboration with Logistics Coordinator.
- Management of Mission asset inventory.
Minimum Qualification, Skills and Experience Required:
- Essential Diploma or Bachelor’s degree in Logistics, Supply Chain Management, Engineering, Business Administration, or a related field.
- Minimum 2–3 years of relevant experience in logistics Management, fleet management, facilities management, or supply support, preferably with NGOs or humanitarian organizations.
- Solid technical aptitude with generators, power back-up systems, cold chain equipment, and general facilities maintenance.
- Basic knowledge of IT equipment maintenance coordination.
- Training in Health & Safety, Fire Safety, or First Aid is desirable.
- Experience in emergency preparedness field explo’s and interventions planning and response support.
- Proven experience preparing logistics reports and maintaining documentation in compliance with SOPs.
- Desirable experience with MSF or other NGOs, in developing countries.
- Essential B2 English and Arabic Level.
