ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders may either perform administrative support functions in the front office and report to the Business Support Assistant, or provide administrative support to team(s) with the reporting line to the relevant Head of Unit, Chief, or the designate. In cases where these positions support a specific business stream, the reporting line may be to the relevant Head of Unit, Chief, or the designate.
At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.

JOB PURPOSE

To perform a range of HR tasks to support accurate implementation of WFP policies and procedures and facilitate the effective functioning of a clientfocused and strategy-oriented HR services in Kassala Area Office (with support to Gedaref, Port Sudan and Ad Damazin Field
Offices).

KEY ACCOUNTABILITIES (not all-inclusive)

  • Provide assistance on general HR queries and follow up actions, to ensure consistent and high quality HR services are delivered to clients.
  • Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients
  • Liaise with other internal units/offices on HR related matters, i.e. follow up with focal points in country office, payroll, contracts, recruitment request etc. and provide necessary information in order to enable timely HR services.
  • Gather information with clear direction to support the drafting of documents and preparing reports by other staff i.e. overtime and attendance sheets etc).
  • Provide administrative support in various HR activities in the areas of work allocated by the professional officer including on boarding of new staff members in compliance with relevant processes and procedures.
  • Maintain confidential personnel records, HR databases and archives (electronically/hard copies), to ensure data and files are accurately stored and updated in compliance with the established standards.
  • Draft various HR documentation required for the specific area of work and ensuring accuracy and meeting established deadlines.
  • Use HR management systems for entering and updating a variety of HR data including assistance in monitoring various deadlines (e.g. contract expiration, PACE, etc.),ensuring compliance with the established deadlines and accuracy of HR data.
  • Support staff deployment and related administrative actions including preparation of basic reports, to facilitate efficient HR service enabling WFP to respond quickly to a crisis.
  • Perform other duties as required.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

Experiences:

A minimum of three (3) years of relevant professional experience in the field of Human
Resources is required.

STANDARD MINIMUM QUALIFICATIONS

Education:

Completion of secondary school education. A post-secondary certificate in the related
functional area is desirable.

Language:

Fluency in both oral and written communication in English and Arabic

Knowledge & Skills:

  • Ability to effectively understand and use Human resources systems.
  • Ability to effectively use Microsoft Office (Word, EXCEL, Power Point etc).
  • Has conducted specific HR Services activities such as health insurance administration,
  • payroll administration, aspects of recruitment and interviews administration
  • Has provided ad-hoc guidance to less experienced staff members
  • Has provided briefing to new recruits as part of the onboarding process
