Responsible for the overall management of all fleet management activities (transport and workshop) and oversight of all WFP assets in the area office. Coordinated fleet operations by the procedures, normative guidelines, and business rules set by WFP.
Key Tasks and Responsibilities:
Under the direct supervision of the immediate Supervisor and in coordination with all Fleet staff, the incumbent shall perform the following duties:
1. Supervise and monitor the performance of the trucks/trailers in coordination with Traffic Monitor, to achieve maximum utilisation, vehicle routing & scheduling for timely delivery of both Food and Non-Food items in line with operational needs and Logistics policy.
2. Responsible for all workshop activities, scheduled maintenance, repair, overhaul, reconditioning, modifications, most efficiently to ensure that all vehicles/equipment are maintained to a high standard of condition.
3. Supervise WFP staff and outsourced staff in Fleet to ensure that they report on time and work effectively and are responsible to ensure that all staff carry out their duties in accordance with their Job Descriptions, including strict timekeeping and completion of timesheets.
4. Ensure all data and information related to the fleet operation are recorded via Fleet Management System (FMS), and produce the required reports on a timely basis, and analyse the information and quality of reports prior to distribution.
5. Analyse (and identify reductions of) operational costs of the Fleet operation.
6. Responsible to oversee the Fleet assets/materials management aspect of the operation, and in particular the inventory, controlling, forecasting, justification and issuance of spare parts, tyres, fuel, lubricants & consumable materials.
7. Accountable for ensuring that all administrative requirements are maintained, overseeing the timely renewals of contracts, insurance policies, etc.
8. Involved in the control and cost effectiveness of the vehicles/equipment and prepare recommendations for write-off and cost-effective way of disposal where necessary.
9. Ensure that proper Fleet administration, recordkeeping & vehicle history records are well maintained, where necessary via FMS.
10. Work in accordance with the CO Logistics Activity work plan, with special reference to the Fleet project plan.
11. Collect and collate data or information relating to improvements required for standardisation and development purposes for Fleet management and coordinate among staff in Fleet.
12. Ensure that minimum health and safety requirements are met in full, together with considerations for environmental needs.
13. Travel occasionally, as required by the Organisation.
14. Will perform any other duties as requested by immediate supervisor.
Job Requirements
Will liaise and cooperate with all other employees within Fleet and other departments within the Organisation, with particular emphasis to Logistics, Programme, Security and Senior Management. Work closely with other senior Fleet staff in Sudan.

Education: Completion of secondary school education, completion of Mechanical and Transport Management course at technical college, university or similar institution, alternatively undertaken a General Management course with experience in the maintenance and transport planning of both light and heavy vehicles is desirable.
Experience: At least 6 years of experience gained in the relevant field.
Language: Fluent in both English & Arabic
Desirable knowledge
- Good working knowledge of standard office software and desired experience using specialised Fleet software programmes.
- Proven track record in updating professional knowledge and skills in the relevant field
- Held the position of Transport/Workshop Manager (Logistician) or similar job in a company / NGO.
Performance criteria:
- Ensure that the Fleet is managed cost-efficiently to achieve maximum vehicle availability and minimum downtime.
- Ensure monthly Transport plans are prepared with the Traffic Monitor and measure the performance of the projected versus actual tonnage moved.
- Responsible for ensuring that all reporting/administrative and operational functions within Fleet are organised efficiently to maintain high standards.
- Required to establish the necessary resources to match the overall operational requirements and monitor trends upwards or downwards and adjust resources accordingly.
