PURPOSE of the POSITION:
The Finance Officer is responsible and accountable for day-to-day financial operations, ensuring accurate processing of payments, ERP entries, compliance with ZOA policies, donor regulations, and statutory requirements. The role ensures financial integrity, timely payments, and strong coordination with operations and logistics.

Key Responsibilities:
Financial Operations & Payments
•
Prepare and process employee, supplier, and service provider payments through the ERP system.
•
Manage bank and cash transactions, ensuring proper authorization and documentation.
•
Prepare IBOK-based payment instructions and execute transactions via electronic banking systems and mobile banking applications.
•
Maintain accurate bank and cash logbooks (manual and ERP-based).
ERP & Financial Systems
•
Ensure all financial transactions are fully recorded, reviewed, on timely manner and uploaded into the ERP system.
•
Registering of incoming invoices.
•
Upload scanned supporting documents to the SharePoint and ensure document completeness and traceability.
•
Follow up on ERP payment workflows and resolve system-related issues in coordination with HQ and Finance.
Reconciliation & Reporting
- Prepare daily, weekly, and monthly bank and cash reconciliations.
- Conduct monthly and weekly cash counts and submit reports timely.
- Support monthly financial reporting and ensure deadlines are met (by the 2nd working day).
- Participate in the monthly closure process, by being responsible of the advance, and suspense
ledgers.
Compliance, Audit & Controls - Review payment documentation to ensure compliance with:
o ZOA Finance Manual
o Donor and audit requirements
o Sudan government regulations - Reviewing of PRs and expenses claim that come via ERP.
- Ensure proper stamping, filing, and archiving (hard & soft copies).
- Coordinate with auditors and provide requested documentation promptly.
Statutory & Advances Management - Ensure timely payment and reporting of Tax, Zakat, and Social Insurance.
- Manage staff and operational advances and ensure timely settlement.
- Follow up on outstanding balances and report exceptions.
Coordination & Support - Work closely with Logistics, Programs, and Field Offices.
- Provide finance support and guidance to field staff.
- Perform other finance-related duties assigned by the Line Manager.
- General Data Protection Regulation (GDPR)
- Responsible for the security of the activities that belongs to his/her own position and duties.
- The employee is also responsible for reporting security incidents in accordance with the process description
for reporting data incidents of ZOA - Personal responsibility to work in accordance with the General Data Protection Regulation in
her/his position - Handle carefully personal data, confidential information and (information) systems
Salary & Benefits
The Finance Officer will be paid a monthly basic salary of USD 980 (Grade H7), in accordance with ZOA
salary scale and internal policies. The salary is subject to statutory deductions as per Sudan government
regulations. Payment will be made on a monthly basis, contingent upon satisfactory performance and
compliance with organizational procedures.

Qualifications, Skills and Experience Required:
Bachelor’s degree in accounting or finance.
Minimum 3 years’ experience in finance with an International NGO.
Proven experience with ERP systems, electronic banking platforms, and Excel.
Strong understanding of IBOK, cash management, and payment controls.

SPECIAL WORKING CONDITIONS:
Up to 30% travel to field locations
