RESPONSIBILITIES
Generic responsibilities
- Comply with NRC’s HR policies and procedures
- Assist with the implementation and rollout of HR policies, procedures, and NRC standards across NRC Iraq
- Ensure proper filing of documents electronically in NRC’s filing tree
- Promote and share ideas for improvement of the HR functions
- Promote the rights of internally displaced/returnees In line with the advocacy strategy
- Actively promote PSEA (Protection from Sexual Exploitation and Abuse) standards & principles within NRC and amongst beneficiaries served by NRC.
Specific responsibilities
- Responsible for maintaining accurate data in NRC People and spot-checking Area Offices People data and feeding back gaps
- Responsible for proper documentation and filing (electronically) on the NRC filing tree spot-checking Area Offices and feeding back gaps
- Responsible for ensuring the filing tree is up to date for all of NRC Iraq’s operations, all files are saved correctly and in the right folders (i.e., all staff personnel files, timesheets, attendance sheets, overtime, leave requests, etc) and that confidentiality is kept by checking access to HR folders
- Performs monthly audits of HR files and records to ensure that all required documents are collected and filed appropriately and gives feedback to all four Area Offices/CO
- Responsible for receiving timesheets from Finance and sharing with Area Offices/CO, checking all timesheets are signed and saved in the relevant folders
- Responsible for updating the organogram
- Responsible for processing HR payments promptly (i.e., health insurance payments)
- Assist HR Coordinator in organizing HR seminars, meetings, and other events
- Assisting the HR Coordinator in implementing HR initiatives and projects for the whole of NRC Iraq
- Supporting gaps in Area Offices when required (four Area Offices)
- Any other tasks as requested by the line manager
- Follow up on the Office and Guest house needs.
QUALIFICATIONS
Professional competencies
Generic professional competencies:
- Experience in HR Administration
- Previous experience from working in complex and volatile contexts
- Fluent in English and Arabic is required.
Context/ Specific skills, knowledge, and experience:
- Minimum of one year experience working as an HR Assistant in a humanitarian/recovery context
- Previous experience using an online HR database
- Competent in the use of MS applications including Outlook, Work, and Excel
- Knowledge of data protection policies and willingness to promote a data protection culture in NRC
- Excellent attention to details
- Pro-active and able to follow up on missing data and issues without prompting
