Main Purpose
Ensure completion of all activities related to medical data entry and data management into the mission database. Supervise, organize, and plan the activity of Data Entry officers/operators, as well as identify their training needs in order to provide good service support and reliability of the data collected.
Accountabilities
- Supervise, organize, and plan the activity of Data Entry officers to have a reliable record of medical activity performed, as well as identify their training/technical support needs in order to provide good service support and reliability of the data collected.
- Ensure collation and entry of all data identified by project managers for collection (e.g. morbidity, mortality, surveillance of diseases of epidemics, nutrition, psychological and women’s health, etc) into the appropriate data management system while ensuring quality of data
- Do quality control data officers perform on a regular basis?
- Know and ensure proper use of software used for recording (i.e. Fuchia, Epi Info, HIMS, DHIS2, etc.).
- Ensure the accuracy of the medical data entered into the mission’s database on a regular basis, according to MSF protocols, and carry out regular back-ups.
- Provide technical support to data entry officers/operators in project sites and respond to their training needs.
- Provide regular statistical reports for the medical team as well as inform the superior of any missing information, major changes, or big differences in data.
MSF Section/Context-Specific Accountabilities
- Performing data entry of all epidemiological information into select database programs and creating appropriate reports, providing data for project development purposes.
- Ensuring that all data entered has been authorized and that appropriate documentation has been received (patient records, treatment monitoring, etc.). Ensuring that all data entry processes occur in a timely and efficient manner.
- Ensuring all data collected and entered into databases is consistently accurate and complete. Being responsible for ensuring that quality control queries of the database are followed up, ensuring identification of data entry errors and corrections. Immediately reporting to the supervisor, any anomalies in the database
- Filing documents according to MSF standards
- Communicating regularly with the HCWs, assisting in the (re)training, when necessary, on proper registration of patients, proper filling of the various forms, clarifying queries, obtaining missing information and correcting errors, ensuring they have ongoing sufficient supplies of necessary hardcopy data collection forms.
- Assisting in the compilation and preparation of regular reports and providing detailed information to medical and laboratory teams (weekly, monthly, according to patient treatment requirements).
- Enter medical data (e.g. patient data, dates of visit, content of prescription, viral load, etc.) in the mission’s database on a regular basis and according to MSF protocols.
- Participate in the compilation of data both from MSF structures and from collaborating health facilities.
- Participate in the search for missing data.
- Update files of existing patients and make any corrections needed.
- Make regular backups of all data processed.
- Look after all equipment provided and keep the recording area clean and tidy, giving special importance to all patient files.
- Report any issue concerning data management to the superior
- Elaborate statistical reports when required by the medical team.
- Ensure, promote, and maintain confidentiality regarding all information registered.
Requirements
Education | Essential bachelor’s degree. Degree in Information, epidemiology, anthropology, medicines/para med, administration, data entry, or in statistics and Technology (IT) desirable. |
Experience | Mandatory 2 years of working experience in at least one of the following fields: statistics, data analysis, IT and technology. Working experience minimum of one year with MSF or other NGO/INGO is preferable. |
Languages | Mission language is essential. (English & Arabic). |
Knowledge | Essential knowledge of the use of computers including processing of documents (Word, Excel, R, Python, STATA). Desirable knowledge of medical statistics databases. |
