The Administration Officer will provide:

The Administration Officer’s primary responsibility is to ensure that the office operations run smoothly by implementing appropriate procedures and control mechanisms as per Plan International’s Supply Chain Operation Manual (SCOM). The role involves managing administrative and logistical support for the office in Port Sudan, including office maintenance, petty cash management, and providing support to expatriate staff and visitors.

The position involves overseeing:

The Administration Officer oversees the maintenance and upkeep of the country office and guesthouses, manages service contracts with various providers (such as catering, hotel, and cleaning services), and supervises the overall vehicle management, including two drivers. The role also includes ensuring general service support, managing office meetings, conferences, and petty cash purchases, and maintaining the administrative filing system. Additionally, the officer will monitor office expenses, organize travel bookings, and manage the office’s equipment, utilities, and facilities.

Essential criteria for this role include:

Candidates must have a bachelor’s degree in Business/Public Administration, Economy, or a related field, along with at least 2 years of experience in office management. Knowledge of administration, logistics, basic accounting, and warehousing management is essential. Fluency in English and a local language, excellent people management skills, and an understanding of child rights and child protection issues are also required.

Physical environment requirements for this role include:

This role is based in a typical office environment with occasional travel to field offices. The Administration Officer will need to manage office facilities, including overseeing maintenance and repairs, and may be required to handle physical tasks related to office setup, equipment maintenance, and logistical support.
